Reading list information for tutors
What teaching staff need to know about getting online reading lists prepared for the new academic year

Reading list policy
- We provide reading lists for the core readings of each course. These are sometimes labelled as Core, Essential, or Required readings.
- A maximum of two references per session/lecture/seminar will be provided. For modules that do not arrange their readings in this way we can provide a single list for the year, single lists can have a maximum number of 30 items.
- Supplementary reading lists may be included in the course handbooks, or uploaded as PDFs onto Moodle by course teams.
- We can only accept the final version of your list, as we will not be able to make any further changes once the list has been received.
- All lists must be submitted by the following deadlines for 2024-25. Any reading lists received after these deadlines will not be updated.
- Autumn term – 12 July 2024
- Spring term – 8 November 2024
- Summer term – 14 February 2025
- If we don’t receive your list by the deadline, we will re-publish the previous year’s list and include a note explaining that the list hasn’t been updated this year. Please note we will not be able to re-publish lists that do not adhere to our reading list policy. Please advise if you would prefer us to withdraw the previous year’s list instead by emailing readinglists@tavi-port.ac.uk.
- Unfortunately, we are not able to make changes to reading lists after they have been published.
- If you need to make any late changes to your reading list, we recommend that you post details on Moodle, and include a link to our Discovery service to help students find the material quickly.
- Please do not circulate published articles/chapters via email, Moodle or any other platform as this will breach the terms of our copyright licence, or our licences with electronic resource providers, placing the Trust at risk of legal action.
Updating your reading lists
Please make sure that you have sent us any new and updated lists needed for the start of the new academic year by Friday 12 July, lists received later than this will not be updated. If you don’t need to make any changes to your list please let us know and we will re-issue it for next year. Please note that lists are not automatically renewed, we can only re-issue a reading list if you confirm that you require it for next year’s teaching.

Please submit all reading list updates either as a Word document, or listed in an email – do not send articles or chapters unless requested.
Where possible please source material from the library’s collection. You can search our Discovery service for books and articles that are available to our members. We are also happy to include items that have been published under an open access licence, and which are freely available – please send us the link where you found these.
General guidelines
Wherever possible we will provide electronic access to book chapters and journal articles directly from your online reading list – this may be in the form of links to ebooks and ejournals, or a scanned chapter or article if we don’t have an online version.
Please check your online reading lists to see how students access their course readings, you can also check to see which of the readings are available to read online or can be downloaded from the reading list.
Full-text articles, chapters and books which are available electronically will have hyperlinked titles, and will also have one or more of these icons next to the title:
If your list is organised by seminar/blocks, please include session details, such as date, seminar title, and tutor.
Please indicate which books, if any, you would like us to add to the reference collection, wherever possible we will try to have at least one additional loan copy. If a title is available as an ebook we wouldn’t normally add a print copy to the reference collection, unless it is likely to be in high demand for several courses.
Please indicate which books, if any, you would expect the students to purchase.
Adding new references
If you are adding any new items to the reading list please make sure that you include the following information.
- Book: author or editor, title, publisher, year
- Book chapter: chapter author, chapter title, book author or editor, book title, publisher, year, page numbers
- Journal article: author, article title, journal title, year, volume no., issue no., page numbers
- Website: title, url
- TV programme/film title: version (if applicable), broadcast date (if known)
Content warnings on reading lists
Library staff have been working with the EDI team to implement a system of flagging outdated or offensive materials on reading lists.
This includes making the EDI message, which appears on the landing pages of reading lists, more prominent and adding ‘content warning’ tags to individual book chapters or articles. A note can be added to appropriately contextualise and critique any problematic texts, so that students are clear why they continue to be included on our reading lists.

Copyright
As always we have to comply with our HE Copying and Digitization Licence, the main points to note are:
- Only one chapter or 10% of the total number of pages from a book, or one article from a journal issue may be scanned for a course module – if you have included more than one chapter from a book in your list please indicate which one you would like us to scan
- We cannot scan multiple chapters from a book for use in different terms of the same course module. For example, we would not be able to provide a scanned chapter from a book for year one, theory term one, and year one, theory term two. (the only exception would be where the total number of pages scanned is less than 10% of the book)
- However, if a book is available electronically we can link to more than one chapter as it may be read online
